Things not to do when sending messages to many people at once

Have you ever wondered how it is that you get so much spam? There are many ways, but one of them is through the carelessness of people sending mail to many people at once. Ie inserting many addresses in the 'To address' or the 'CC address' of an e-mail. This means that every recipient of the e-mail then has the e-mail address of everyone the e-mail has been sent to.

Imagine sending an e-mail to your customers, they then know who all your customers are! Or in a church or club, there may be two people who it may be better to not know how to contact each other!

There are also possibility 'Data Protection Act' implications for giving out e-mail addresses without permission.

So how do you get around the problem? Either you send each person an e-mail individually, or you use the 'BCC address' field (BCC stands for Blind Carbon Copy). Simply address the e-mail to yourself, and enter the other names in the BCC field.

We strongly recommend you ensure any members of your staff be clearly aware of just how a slight slip in sending an e-mail in the wrong form, could have serious implications for your company or organisation
